About the role
The Front Office Coordinator/Receptionist plays a major role in both the patient experience and the day-to-day performance of the practice. You will be one of the key people patients interact with during their journey. You will help patients understand their treatment, coordinate appointments, discuss treatment plans and payment options, follow up outstanding treatment and ensure that every patient feels cared for. You will also assist in maintaining a well-organised and productive appointment book and ensuring the front office operates professionally and efficiently.
Key responsibilities
- Meeting patients following clinical consultations and helping them understand their treatment journey
- Explaining treatment plans in a clear, confident and compassionate manner
- Coordinating complex and multi-appointment treatment, including implant, cosmetic, restorative and clear aligner cases
- Providing patients with written treatment plans and estimates
- Discussing payment arrangements and available finance options
- Following up patients who have not yet scheduled recommended treatment
- Managing incoming telephone calls professionally and responding to patient enquiries
- Scheduling appointments accurately and maintaining an organised and productive appointment book
- Managing clinician schedules, cancellations and failed appointments
- Processing patient accounts, payments and HICAPS processing
- Coordinating new patient appointments and ensuring new patient paperwork is completed
About you
- At least 2 years of experience within a dental practice, particularly within dental reception, treatment coordination, practice coordination or senior dental assisting
- Previous experience in dental reception, treatment coordination, practice management, dental assisting, appointment book management, treatment plan presentation, implant treatment coordination, cosmetic dentistry, clear aligner treatment, patient finance discussions, recall management, reactivation or treatment follow-up
- Experience with EXACT dental software would be advantageous, although training can be provided to the right candidate
- Warm, friendly, confident, highly organised and professional
- Reliable, emotionally intelligent and calm under pressure
- Excellent at communicating with nervous patients, families, children, elderly patients and patients considering complex treatment
- Detail-oriented, proactive and accountable
- Comfortable discussing treatment fees and having financial conversations with patients
- Comfortable speaking confidently on the telephone and managing competing priorities
- Able to work collaboratively as part of a team and take ownership of responsibilities

Pay: $30.00 – $50.00 per hour
