About the role
Australian Allied Health Support is seeking a motivated and organised Health Administration Officer to support the efficient delivery of administrative and operational functions across a busy allied health environment.
The successful candidate will work closely with allied health professionals, administrative staff, clients and external stakeholders to ensure the smooth coordination of daily services and accurate maintenance of administrative records.
This position would suit an organised early-career professional, graduate or experienced administrator who is interested in developing a long-term career in healthcare administration and health services management.
Key responsibilities
- Provide day-to-day administrative support to allied health and clinical teams.
- Coordinate appointments, schedules, meetings and service-related administration.
- Maintain accurate client and administrative records while ensuring confidentiality and privacy.
- Process correspondence, documentation, forms, referrals and other administrative records.
- Respond professionally to telephone, email and in-person enquiries.
- Assist with client intake, appointment coordination and general service administration.
- Prepare spreadsheets, reports, correspondence, presentations and other documentation.
- Enter, update and retrieve information from relevant databases and healthcare information systems.
- Assist with invoicing, billing, purchasing and general financial administration where required.
- Liaise with healthcare professionals, clients, families, external providers and other stakeholders.
- Support managers with administrative projects and operational activities.
- Assist with quality improvement, compliance and process-improvement initiatives.
- Identify administrative issues and contribute to practical solutions.
- Ensure administrative activities comply with organisational policies, privacy requirements, workplace health and safety obligations and relevant legislation.
Essential requirements
- Relevant qualification in Health Management, Health Administration, Business, Commerce, Public Health or a related discipline, or equivalent relevant experience.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Excellent organisational and time-management skills.
- Ability to manage competing priorities in a busy environment.
- Strong Microsoft Office skills, particularly Word, Excel and Outlook.
- Ability to handle confidential and sensitive information professionally.
- Strong interpersonal and customer-service skills.
- Ability to work independently and effectively as part of a multidisciplinary team.
- Professional, reliable and proactive approach to work.
Desirable
The following would be highly regarded:
- Previous healthcare, hospital, medical practice or allied health administration experience.
- Experience with patient/client management systems.
- Experience with electronic medical or health records.
- Knowledge of healthcare privacy and confidentiality requirements.
- Experience with appointment scheduling and referral management.
- Experience preparing reports and maintaining administrative databases.
- Experience supporting quality improvement or compliance activities.
- Previous experience working with healthcare professionals or multidisciplinary teams.
