The role
We are seeking an enthusiastic Assistant Property Manager to join our Perth Operations team on a full time, permanent basis. This person will provide comprehensive property management and administration support with a variety of duties across a number of office buildings.
Reporting to the Precinct Manager, you’ll be joining a national team of enthusiastic and driven individuals who strive for continuous improvement. This position will suit a proactive, composed, and self-starting Assistant Property Manager who wants to build on their previous experience within a collaborative and supportive organisation.
What will you be responsible for?
- Ensure office area is always tidy and presentable.
- Coordinate mail, couriers, banking, filing, archiving, printing and general administration, and receive, sort and distribute daily mail and deliveries.
- Ordering of stationary and office supplies.
- Coordinate meeting rooms, catering, and visitor arrangements.
- Perform duties such as filing, photocopying and taking minutes.
- Provide support and assistance to all members of the team when required.
- Maintain the P/drive and data room, including registers and contact information.
- Ensure compliance with company policies, procedures and safety requirements.
- Work collaboratively to achieve portfolio objectives.
- Perform other reasonable duties as requested by management.
- Process invoices, work orders and other miscellaneous tasks
- Ensure miscellaneous charges are raised and details are forwarded to accounting teams to add to monthly tenant invoices
- Management of arrears
- Assist with reconciliations and disputed invoices
- Support preparation of budgets, reconciliations, and monthly reporting
- Review monthly rent-up, issue rent invoices and statements to tenants every month
- Ensure tenant insurance and bank guarantee registers are maintained and always up to date
- Provide tenant, contractor and customer liaison services including enquiries in a professional and efficient manner
- Assist facilities managers where required with work order coordination
- Prepare correspondence, reports and property related documentation.
- Support the Precinct Manager and Facilities Managers in carrying out day-to-day operational and building service activities outlined in the Property and Facilities Management Agreement.
- Develop strong relationships with internal and external stakeholders in all operations and activities
- Support tenant engagement, community programs and events.
What experience and qualifications will you possess?
- A minimum of 2+ years experience in commercial or retail property management administration (desirable) or a strong residential property manager looking to move into commercial property management
- Experience with MRI, Coupa, Sugar, or similar systems
- Equivalent experience or relevant certification in property or related field
