Job description:
We're after a casual admin assistant to help keep our legal practice running smoothly.
We work with visa hopefuls and employer sponsors to transform their visa journey from confusion and stress to easy and breezy! Behind every one of those visa grants is a pile of documents, deadlines and emails that need someone reliable keeping them in order. That's where you come in.
You don't need to know anything about migration law. You do need to be organised, quick on a computer, and great on the phone.
The day to day:
- Answering phones, taking messages and fielding general enquiries
- Monitoring the inbox and directing emails to the right person
- Setting up new client files and keeping our matter tracker up to date
- Booking consultations and managing calendars
- Preparing invoices and following up unpaid accounts
- Completing tasks related to our SOPs at certain intervals in a client journey eg record keeping tasks at application lodgement stage
- General office admin and helping out wherever needed
About You:
- Previous admin, reception or customer service experience
- Excellent attention to detail
- Good with computers and tech-savvy. Comfortable picking up new software and able to fine tune formatting of a word document
- A positive, friendly, can-do attitude
- Confidence on the phone
- Excellent time management and the ability to work without reminders
- Discretion, since you'll be handling sensitive personal information
- Unrestricted work rights in Australia
The arrangement:
This is a casual role, so hours are offered as the work comes up and there are no guaranteed hours from week to week. Realistically we expect somewhere between 8 and 20 hours a week, spread over two to four days, but it will move around depending on how busy we are.
We're operate out of a HQ in Melbourne's eastern suburbs but we service clients all over Australia and world wide. Melbourne mornings line up nicely with the start of our day, and there is some flexibility on exactly which hours you work.
We're a small, tight knit team so a willingness to jump in, help out and be a part of the team is crucial.
Migration work can go for many months or years, so we create excellent relationships with them so that the process can be enjoyable for them and us along the way. We know our clients by name, not just their client code, and we check in on their weekend plans not just the bare minimum for their visa.
