Primary objective
The Ministerial Liaison Support Officer is responsible for providing high quality and timely administrative support to
Ministerial Liaison Officers, the Secretariat team and to the Department and its Ministers.
Context statement
The Secretariat team deals with confidential and sensitive information and is a busy work unit, dealing with high volumes of
correspondence. Maturity in your approach to work, excellent attention to detail and a cool, calm manner when dealing with
busy people are highly regarded.
Key duties and responsibilities
1. Register in the NTPS record management system all correspondence received and provide a follow up service to ensure
timely provision of ministerial briefing and responses.
2. Efficiently scanning and filing all physical documents in adherence to the department’s record keeping and Cabinet
Office protocols.
3. Update and maintain the Ministerial database in a timely and accurate manner.
4. Assist in monitoring the Secretariat generic email account and ensure emails are acted on promptly.
5. Assist in the preparation of various reports for the Chief Executive and relevant Directors.
6. Provide administrative support to the Manager, Secretariat and Secretariat team members including office purchasing.
Selection criteria
Essential
1. Demonstrated high level of attention to detail, ensuring accuracy, consistency, and reliability in all work.
2. Excellent customer services skills, including well developed interpersonal and communication skills with people at all
levels.
3. Well-developed time management and organisation skills, and ability to work under pressure with minimal supervision.
4. Ability to work effectively in a team environment, be highly motivated and an ability to take initiative, be flexible and
contribute to a positive workplace culture and team spirit.
5. High level of discretion working with highly sensitive documentations, a very strong regard to following rules and
procedures and ability to maintain confidentiality.
6. Good word processing skills, and sound ability to work with other programs (databases and records management such
as HPE Content Manager) and email systems.
Desirable
1. Previous administration experience or working in a high-volume processing role.
